Booking an airport transfer is straightforward once you know what to expect. This guide walks you through the process from start to finish — what information you'll need, what to look for, and how to make sure everything goes smoothly on arrival day.

Step 1: Choose a Transfer Platform

Start by picking a booking platform. We compare four major ones: Welcome Pickups (best quality), Kiwitaxi (best all-rounder), GetTransfer (cheapest), and intui.travel (widest coverage). Check our comparison table to see which fits your priorities.

Step 2: Enter Your Route

On any platform, you'll need to provide: your pickup location (airport name or code), your destination (hotel name, address, or area), your travel date and arrival time, and the number of passengers. Some platforms also ask about luggage count.

Tip: Use your hotel's full address, not just the area name. "Hotel Roma, Via Nazionale 7" is better than "Rome city center" — it ensures your driver knows exactly where to go.

Step 3: Choose Your Vehicle

Most platforms offer several vehicle classes: Economy (basic sedan, 1-3 passengers), Comfort (nicer sedan or SUV, 1-3 passengers), Minivan (4-7 passengers), and Minibus (8-19 passengers). Prices increase with vehicle size and quality. For a couple with normal luggage, Economy or Comfort is fine. For a family of 4-5 with suitcases, a Minivan is usually the right choice.

Step 4: Review the Price and Terms

Before paying, check: is the price final (including tolls, parking, airport fees)? What's the cancellation policy (free cancellation up to 24h is standard)? Is the driver's waiting time included if your flight is delayed? Reputable platforms include all of this in the quoted price.

Step 5: Book and Pay

Pay by credit card online. You'll receive a confirmation email immediately with your booking reference. Most platforms send a second email 12-24 hours before your transfer with your driver's details: name, phone number, vehicle type, and license plate.

Step 6: Arrival Day

After landing, turn on your phone. Your driver is already tracking your flight — if it's delayed, they adjust automatically. Head to the arrivals hall after customs and look for your driver holding a name sign. They'll help with luggage and take you to the car.

Can't find your driver? Call them using the phone number from your confirmation email. If there's a language barrier, show them your booking confirmation on your phone.

Common Mistakes to Avoid

Wrong terminal. Large airports have multiple terminals. Make sure your driver knows which terminal you're arriving at — most platforms ask for your flight number to handle this automatically.

Wrong arrival time. Enter your flight's arrival time, not departure. This seems obvious, but it's a surprisingly common error.

Booking too late. Book at least 24 hours in advance. Last-minute bookings may have limited availability, especially in peak season.

Not checking cancellation policy. Plans change. Make sure you can cancel for free if needed — 24h free cancellation is standard on all four platforms we recommend.

What Happens After You Book

Immediately after payment, you'll receive a confirmation email with your booking reference, route details, and payment receipt. Save this email — don't delete it until your transfer is complete.

Between 12 and 24 hours before your scheduled pickup, you'll receive a second email with your driver's details: full name, phone number, vehicle type, color, and license plate. Some platforms (Welcome Pickups) also send this through their app with a map showing the meeting point.

On transfer day, your driver will be tracking your flight. If your flight is delayed, the pickup time adjusts automatically — no need to call or reschedule. When you land, turn on your phone, clear customs, collect luggage, and head to the arrivals hall. Your driver will be waiting with a name sign.

Platform Comparison: Which Is Easiest to Book?

Kiwitaxi and Welcome Pickups offer the fastest booking experience — enter your route, see prices instantly, pay, and get confirmation in under 3 minutes. intui.travel is similar but with a slightly less polished interface.

GetTransfer takes longer because of the auction model. You post your route and wait for bids — anywhere from 5 minutes on popular routes to several hours on niche ones. The payoff is usually a lower price, but it requires more patience and decision-making. If you want the simplest booking experience possible, choose Kiwitaxi or Welcome Pickups.

Troubleshooting Common Issues

If you don't receive a confirmation email within 10 minutes, check your spam folder. If it's not there, contact the platform's support immediately — your booking may not have processed correctly.

If you need to change your booking (different hotel, different time, additional passengers), contact the platform as early as possible. Most changes are free if made more than 24 hours before pickup. Last-minute changes may incur fees or require a new booking.

If the platform shows "no availability" for your route, try an alternative platform. Coverage varies significantly — what's unavailable on Welcome Pickups might be readily available on intui.travel or Kiwitaxi.
